How to Scan and Upload Letters to BetterLetter

Learn how to scan and upload letters onto BetterLetter, including troubleshooting tips.

Until autocollections are enabled for your practice, you will need to manually scan and upload letters into BetterLetter. This guide walks you through:

  • How to scan letters successfully

  • Recommended settings

  • Upload processes

  • Troubleshooting common issues

Step 1: Scanning Letters Properly

Use Windows Scan or Compatible Software

Most users can use the built-in Windows Scan app, or their printer/scanner’s manufacturer software.

Recommended Scan Settings

To ensure your scanned letters are compatible with BetterLetter and don’t exceed upload limits:

Notes:

  • PDF is ideal because it supports multipage documents, however it is important to note that the PDF wraps an underlying image file and large file sizes might result if your scan profile is not set correctly (see below).

  • 150DPI is generally sufficient for legibility. If documents are still unreadable at 150DPI, try 300DPI but ensure file size remains < 20MB.

Adjusting Scan Profile in Windows

To change settings in Windows:

  1. Go to Settings > Devices > Printers & Scanners

  2. Select your scanner > click Manage

  3. Choose Scan profiles

  4. Edit your profile:

    • Set file format to PNG
      Set resolution to 150DPI

  5. Save changes

Step 2: Uploading to BetterLetter

Once your letter is scanned:

  1. Log in to your BetterLetter portal

  2. Navigate to the Upload Letters section under the 'Preparing tab'

3. Drag and drop or select your scanned file

4. Click Upload

Once uploaded, BetterLetter will handle the rest.


Troubleshooting Common Issues

Common issue 1: "File too large to upload"

  • Make sure your scan is:

    • Saved as PDF
      Scanned at 150DPI

  • Make sure your scan profile is set to:

    • File type as PNG
      Resolution at 150DPI

Common issue 2: "Unreadable scan"

  • Try increasing resolution to 300DPI (as long as the file stays under 20MB)

  • Make sure the original document is flat and well-lit
