To ensure BetterLetter works reliably and supports safe, effective communication, practices must maintain the following:


Information Governance & Data Security

Staff must be up-to-date with Information Governance (IG) and Data Security Awareness training.

This ensures:

  • Patient confidentiality is upheld

  • Compliance with NHS and regulatory requirements

  • Safe use of AI tools


  • The practice manager or IG lead should oversee certification compliance.


EHR Reliability

BetterLetter depends on a stable and accurate EHR system.

Practices should:

  • Be aware that interruptions to their EHR service will impact BetterLetter operations

  • Keep their EHR up to date
Ensure staff enter data consistently

  • Address any known EHR issues promptly


Auditing & Oversight

To ensure safe and accurate use, practices should:

  • Audit released letters regularly

  • Audit task completions (e.g. meds, referrals)

  • Log and act on audit findings
