That’s why we have the Quality Portal - a simple way for practices and our own team to raise any issues with clinical coding encountered on BetterLetter.
What is the Quality Portal?
The Quality Portal is a system where you can flag anything that doesn’t look right, whether that’s a coding error, a documentation issue, or something that might be a bug in the app. Every issue logged is tracked by our team, so nothing slips through the cracks.
How does it work?
Submit an issue - Anyone (you or our team) can raise an item in the portal. Here is a link to the portal.
Triage & review - The Quality Team checks whether it’s urgent. Urgent issues are reviewed straight away, while non-urgent ones go into the weekly review.
Resolution - Depending on what we find, we’ll:
Correct the coding or letter
Let you know if the practice needs to take any action
Or make an active change in the product to resolve the issue for the future
Learning & feedback - Every issue becomes a learning opportunity. We share outcomes with individuals and the wider team so improvements stick.
When should I use it?
If you spot an error in coding or a letter,
If something feels unclear or inconsistent,
Or if you notice a system/process issue that might be causing mistakes.
By flagging issues, you’re not only helping fix that single letter, you’re helping improve the system for everyone.
