Understanding File Size Errors and Processing Limitations

This article explains why some letters are not able to be fully processed by the AI.

In some cases, the system may be unable to fully process letters that are too large or complex for AI processing. Previously, these documents were automatically rejected for manual processing outside of BetterLetter. However, the current approach allows such files to pass through with limited handling.

When this occurs, the system performs only basic administrative processing. This includes identifying the letter type and assigning the appropriate department. More advanced tasks, such as diagnosis coding or detailed content analysis, are not completed.

Users are then given a choice: proceed with coding the document without AI suggestions, or reject the document entirely.

What Are The Technical Limitations?

There is no strict page limit for document processing. Instead, the system’s ability to handle a file depends on factors such as content density and available hardware capacity.

Certain types of content are more likely to cause processing failures:

  • Extensive patient history sections, which are not currently supported

  • Documents containing large numbers of images, such as ECG/EKG reports that can span 50-100 pages

  • Letters with lengthy advice attachments, including condition guides exceeding 50 pages

  • Long email chains involving multiple departments or participants

A key part of understanding these limitations is knowing that the AI must process the entire document, even if only a small portion is relevant.
