Introducing a New Way to Manage Rejected Letters in Docman

We've introduced a new way to manage rejected documents in Docman.

Previously, when a document was rejected, a rejection stamp was added directly onto the file. In some cases, this could obscure important information, such as the patient's name or other identifying details.

To improve this experience, you can now choose to rename rejected files instead of stamping them.

Change the Rejection Method

To update your rejection method:

  1. Go to My Account.

  2. Select View Practice Settings.

  3. Locate the Docman Rejection Method setting.

You'll see two options:

  • Stamp files with Rejection Reason (Default) - Applies the rejection reason as a stamp directly onto the document.

  • Rename files to show rejection - Renames the file using the format: Rejected - Letter ID - Rejection Reason.

Why choose "Rename files to show rejection"?

Renaming rejected files keeps the original document unobstructed while making rejected documents easier to organise. Because the rejection reason is included in the filename, you can quickly filter documents by rejection reason within Docman - for example, viewing all duplicate letters together. This makes it easier to process similar rejections in batches and helps streamline your workflow.
