What Happens After You Sign: Onboarding to Go-Live

The steps between signing your contract and working on your first live letters.

Written by Sarah

Once your contract is signed, we guide you through a few steps to get BetterLetter ready for your practice. Most practices go live within a few weeks, and the sooner each step is done, the sooner you're up and running.

Step 1: Complete your onboarding email

We'll send you an onboarding email. It asks you to:

  1. Create BetterLetter's user accounts in your clinical system.

  2. Fill in the onboarding form, including who should receive tasks (GPs, Safeguarding, Meds Management and Reception) and who your superuser is.

  3. Book your kick-off call.

  4. Ask each coder to complete a short questionnaire about their coding experience, so we can tailor your training.

Step 2: Set up BetterLetter's accounts

We need our own accounts in your clinical system to collect and file letters. The steps depend on your system. This will have been shared with you in your initial onboarding email.

Step 3: Your kick-off call

On the kick-off call, we walk through how letters reach BetterLetter, how your team will use it day to day, and who should receive tasks. We'll also agree your go-live date. Invite your practice manager, your lead coder, and a GP if you can.

Step 4: Training

Every coder works through the training walkthrough for your clinical system. See How to Train Your Team on BetterLetter.

Once your team has completed this, we’ll set up a 30 min Q&A with your team to go through any lasting questions ahead of going live with our customer success team.

Step 5: Go-live

On go-live day, letters start arriving in BetterLetter and we share your team dashboard. We'll book a follow-up call for about a week later to check how it's going.

You're ready to go!
