Setting up cover for tasks when a staff member is on leave

Make sure tasks and letters keep moving while someone is away.

Written by Sarah

When a GP or member of staff is on leave, tasks from BetterLetter can still be sent to them. A few simple steps make sure nothing is missed while they're away.

When a GP or task recipient is on leave

BetterLetter can't see out-of-office settings in your practice EHR. Instead, tell us about the leave and we'll redirect their tasks to whoever is covering. Send us:

  • The name of the person on leave

  • The name of the person covering

  • The date the cover starts

  • The date they're back, so we know when to switch it back

We'll make the change, usually on the same working day, and switch it back on the return date. You can tell us by chat, email or on a call, whichever suits you.

Tip: let us know about planned leave at least one working day ahead.

When a coder is on leave

  • Any letters assigned to them can be picked up from All coding by another member of the team.

  • If the team is short for a longer period, we can help with extra coding support.

When your practice admin (superuser) is on leave

Your superuser invites new users and manages access. We recommend having at least two people at the practice with superuser access, so there's always cover. Get in touch if you'd like to add another.

Permanent changes

If someone is leaving the practice, or a new GP or group needs adding to tasks, let us know and we'll update your task recipients.
