Most of your letters reach BetterLetter from SystmOne batches. For anything that isn't in a batch, you can upload it by hand or send it by email.
Main route: SystmOne batches
Add the letters you want processed to a batch in SystmOne, as you normally would.
Open the batch and change its owner to your practice's Dyad BetterLetter account.
That's it. Our system collects pending batches during regular, monitored collection windows several times throughout the day, and the letters appear in BetterLetter ready for coding.
You don't need to rename the batch. Changing the owner is all we need.
Tips:
Send batches throughout the day, so letters are ready by the time your team codes them.
Only add letters you want us to process.
Don't send the same letters twice. This can create duplicates.
Uploading letters by hand
Use this for scanned paper letters, or anything that isn't in a SystmOne batch.
Open the Letters page.
Select Upload letters in the top-right corner.
Drag your files into the upload area, or select them from your computer.
Select Upload.
You can upload up to 100 letters at a time. For the best results:
Format: PDF
Resolution: 150 DPI (try 300 DPI if a letter is hard to read)
Maximum file size: 20MB per file
Scan a multi-page letter as one file, not one file per page
Sending letters by email
On the Letters page, select the arrow next to Upload letters, then Upload via email, to see your practice's BetterLetter email address.
Forward the letter to that address.
Each email becomes one letter, so send one letter per email.
Letters not appearing?
Check the batch is owned by the Dyad BetterLetter account, not a member of staff.
Check the Dyad BetterLetter account is still active and its password hasn't changed.
If SystmOne is down, we'll collect the batch once it's back. See SystmOne Downtime: What happens to letters in the queue?
