Introducing Task-Based Workflows in BetterLetter

This article explains task-based workflows, a feature that allows you to assign individual tasks to different recipients.

We’re excited to announce a major update to how tasks are managed and workflowed in BetterLetter. Instead of workflowing an entire letter to one group/individual, you can now assign each individual task to a different recipient. This means that tasks will be sent to the right people, so the right information always reaches the right person.

Why the change?

  • Clinical safety: no tasks get missed.

  • User convenience: clearer task ownership and no need for the first recipient to forward remaining tasks.

  • Efficiency: one person/group only deals with the part of the letter they are responsible for and tasks are sent out simultaneously, saving time.

What’s changing visually for coders/reviewers?

The workflows section at the bottom of letters will no longer appear. Instead, tasks are handled directly through the new task management system.

How to add tasks and select where/to who they should be directed to:

There are three ways tasks are created in the new system:

1. Manual tasks

You can create tasks manually by highlighting text in the letter or using the QuickCode bar. You will be required to choose a recipient upon creation of the task.

2. Automatic rules

AI will automatically assign tasks based on our logical rules (but you can change who it’s assigned to). As you add new codes, the AI will be prompted to generate new tasks for them as well.

3. AI-identified tasks

When GENIE (the AI) detects something in a letter, you’ll need to confirm and add the recipient. If no recipient is chosen, it will show as an error. Until you have added a recipient, there will be an error on the letter that will prevent it from being submitted for review.

What if the letter has no tasks and needs to be just filed?

If no tasks are required, you’ll see a confirmation box at the bottom of your page that says:

I confirm the letter can be filed with no further tasks.”

Tick this box to then be able to file the letter by clicking ‘Submit’. This tickbox acts as a safety measure to ensure that the reviewer is confident in there being no tasks on the letter.
