Once your team has reviewed a letter in BetterLetter, we file it straight back into SystmOne for you.
When a letter is marked as finished, we add the following to the patient record in SystmOne:
The approved SNOMED codes, saved to the patient record in Communications & Letters.
The highlighted letter and summary sheet, so anyone opening the record can see what was coded and why.
Any tasks you approved, sent to the SystmOne users or groups set up during onboarding.
Most letters are filed within about 30 minutes of being marked as finished. Busy periods or unusual letters can take a little longer, and our team is alerted to anything that takes longer than expected.
Online visibility
We set whether each filed entry shows in the patient's online record. If a letter contains safeguarding or other sensitive information, we hide it from the patient's online view and route it to your Safeguarding group. Learn more on how to hide a letter from a patient.
What happens to rejected letters?
Rejected letters don't go back into SystmOne. They move to the Needs rejection view in BetterLetter, for example when a letter is for a patient who isn't registered with you. From there, download the letter and handle it using your practice's usual process. See this article on how to process rejected letters.
Who appears as the author in SystmOne?
We file entries using your practice's Dyad BetterLetter account, so they won't show the name of the coder who reviewed them. To see who finished a letter, open the audit view in your team dashboard and search for the letter's BetterLetter ID. You'll find the ID on the summary sheet.
Still need help? Contact us via our live chat. If a letter hasn't appeared in SystmOne after a few hours, include the letter ID and we'll look into it.
